Willa

What information should I add to Willa?

Add anything guests might ask about: schedule, venue, parking, transportation, dress code, accommodations, food, kids, registry, and more.

Last updated

Add anything your guests might reasonably ask about. If you'd answer it in a text from a guest, Willa should know it. Start with the topics below, which cover most of what guests ask.

The essentials

Schedule. Start times for each part of the event, and when guests should arrive. For multi-day events, include every day: welcome drinks, rehearsal dinner, ceremony, reception, farewell brunch.

Venue and directions. The name and address of each location, how to get there, and where to go once guests arrive. Mention which entrance to use if it isn't obvious.

Parking. Where to park, whether it's free or paid, whether there's valet, and any limits. Parking is one of the most common questions guests ask.

Transportation. Shuttles and their pickup times and locations, rideshare tips, and the last shuttle back. If you're not providing transport, say so.

Dress code. The dress code and what it means in practice. Include anything guests should plan for, like grass, sand, stairs, or an outdoor ceremony in the evening chill.

Accommodations. Hotel blocks, booking links or codes, the deadline to book, and how far each hotel is from the venue.

Often asked

  • Food and drinks: the menu, dietary options, and whether there's an open bar
  • Children: whether kids are welcome, and any childcare arrangements
  • Plus-ones: who's invited with a guest
  • Registry and gifts: where you're registered, and whether to bring gifts to the event
  • Travel: which airport to fly into, and how far it is
  • Weather: what to expect, and the backup plan for rain
  • Accessibility: step-free access, seating, and anything else guests with mobility needs should know
  • Photos: whether the ceremony is unplugged, and where photos will be shared
  • Activities: things to do nearby for guests staying the weekend

Who to contact

Tell Willa who guests should reach out to for things it can't help with, like a day-of coordinator for emergencies.

Keep some details private

Not everything is for every guest. On Signature, you can limit a detail or file to specific guest groups, like rehearsal dinner timing for the wedding party. Willa only shares it with guests in those groups.

Anything not visible to everyone or to a group is only used by you and your event admins.

Tips for writing details

  • Write like you'd text a friend. "Park in the west lot, it's free" works better than a formal notice.
  • Be specific. Include times, addresses, and names.
  • Say what's not happening, too. "There's no shuttle, but rideshares are easy to get" saves a lot of questions.
  • Keep one version of the truth. If a time changes, update it everywhere so Willa doesn't find two answers.

Once you've added the essentials, test Willa with the questions your guests are likely to ask.
