Manage multiple events as a planner

You can run Willa for every wedding or event you plan from one account. Each event is kept separate, with its own information, guest list, and Willa number, and you switch between them from Your events.

Create an event for each client

On Your events, select Create new event for each wedding or event. Every event has its own:

• Event info, knowledge, and documents
• Guest list and groups
• Willa number and guest link
• Announcements
• Plan

Nothing is shared between events, so one couple's details never show up in another couple's answers.

Bring your clients in as admins

You can add your couple, or anyone else helping with an event, as an event admin. Admins can edit event details, manage guests, upload knowledge, and send announcements, but only for the events you add them to.

1. Open the event and go to Settings.
2. Under Event admins, enter their email address.
3. Select Add admin.

If they already have a Willa account, they're added right away. If not, Willa emails them an invite link. They'll need to sign up with that same email address to accept it. You can resend or cancel an invite from the same place.

Only the event owner can add or remove admins, and only the owner can change the event's plan.

Reuse venue details

If you work with the same venues again and again, planning businesses can save them on the Venues page. Add what guests need to know about each venue, like parking, arrival, and accessibility, once.

Every event at that venue picks up those details automatically. You can still override them for a specific event, and anything you add for an event takes priority over venue details. Details you mark as internal stay with you and your team and are never shared with guests.

Venues appears in the top navigation for planning business accounts. Anyone can still pick a venue for an event from its Event info page.

Keep track of what's happening

Each event's Overview shows how ready Willa is and what guests are asking. After the event, it shows how many questions guests asked and how many Willa answered from the details you shared, which is useful when you talk with clients about the value Willa added.
